From First DM to Final Payment: How Dealvio Manages the Full Brand Deal Lifecycle

A brand deal doesn't start when you sign a contract and it doesn't end when you post the content. The real lifecycle of a brand deal has eight or nine distinct stages — and most creators are managing each one with a different tool, a different mental model, and a lot of room for things to fall through the cracks.

Dealvio was built to cover the entire lifecycle from the first contact to the final payment, without the creator having to switch tools or rebuild context at each stage. Here is what that looks like in practice.

The Brand Deal Lifecycle — Stage by Stage

📥

Stage 1 — First contact

A brand reaches out — by DM, by email, through a platform. This is where most creators' "systems" begin and end: a message in an inbox that may or may not get followed up. In Dealvio, you log the brand as a deal at Lead stage the moment contact is made. The contact details, the platform, the niche — everything goes in immediately. Nothing gets lost because it was only ever a thread in your DMs. For a full breakdown of what to do when a brand first reaches out, see What Happens After a Brand Reaches Out.

📋

Stage 2 — Brief

Once there's genuine interest, you need to understand what the brand actually wants. Dealvio's Brief module lets you send the brand a public link — no login required on their side — where they fill in campaign objectives, tone, deliverables, key messages and assets. The AI Check tab then reviews the submitted brief and flags any missing information before you commit to anything. Brands often send incomplete briefs; catching that before production starts saves hours.

💰

Stage 3 — Rate and negotiation

You need a number to propose. The Rate Calculator in Dealvio's Negotiation Toolkit generates a data-backed rate based on your platform, follower count, engagement rate, niche, content type, and usage rights — not a guess. The Offer Tracker logs each round of the negotiation as it happens: what they offered, what you countered, what was agreed. For a step-by-step walkthrough of the negotiation itself, see How to Negotiate a Brand Deal — Step by Step. When you close the deal, there's a written record of every number discussed.

📄

Stage 4 — Contract

The deal moves from Negotiation to Contract stage. Dealvio includes eight professionally structured contract templates — sponsored post, UGC, ambassador, affiliate, whitelisting and more — with automatic jurisdiction language based on your country and the brand's. You customize the clauses, add the agreed rate and payment terms, and send it for signature. If the brand sends their own contract, you upload it as a PDF and the AI extracts the key terms — payment date, usage rights, exclusivity, kill fee — so you know exactly what you're agreeing to without reading every word.

🎬

Stage 5 — Production and deliverables

Once the contract is signed, the deal moves to In Production. When the content is ready, you upload it in the Deliverables module and share it with the brand via a secure link — no account required on their side. They review it, request changes, or approve directly on the shared page. Approvals trigger automatic stage progression in the deal pipeline. Content rights and license expiry dates are stored per deliverable, so you always know what the brand can and can't do with each piece of content.

🧾

Stage 6 — Invoice

Content is approved. Time to invoice. Dealvio generates a professional, automatically numbered invoice with your billing details, bank account and payment link pre-filled from your profile. The brand's details pull from the deal. You confirm, send, and the invoice status goes from Draft to Sent in the pipeline. For everything you need to know about invoicing brands correctly, see How to Invoice a Brand as a Content Creator. The Cash Flow tab immediately updates to include this invoice in your upcoming payment forecast.

Stage 7 — Payment tracking

The invoice is sent. Now you wait — but not without visibility. Dealvio tracks the invoice status from Sent to Pending to Overdue to Paid, and flags overdue invoices in your notifications automatically. The Dashboard shows your awaiting-payment total at a glance. If a reminder needs to go out, this guide covers the exact follow-up sequence to use — because the due date is in the system from the moment you generated the invoice.

Stage 8 — Paid and performance

Payment arrives. The deal moves to Paid. But the lifecycle isn't quite finished. The Performance Analyzer lets you log the post-publish metrics — views, engagement, hours invested — and calculates your real ROI for this deal. Over time, this data builds your client score for this brand and feeds into your benchmarks. The next time they reach out — or the next time a similar brand does — you have actual data to price from.

What Changes When Everything Is Connected

The individual tools for each stage are not new. What's new is having them connected — so a deal you created at the Lead stage still has all its context when you're generating the invoice six weeks later. You don't have to go back to the email thread to find the agreed rate. You don't have to check a spreadsheet to know which invoice is overdue. You don't have to build a new document every time a brand asks for your contract.

The mental overhead of managing all of this separately is significant. It's not just the time lost switching between tools — it's the cognitive load of keeping track of where each deal is, what's outstanding, and what needs to happen next. When that overhead disappears, the work itself gets cleaner. For a broader look at why a connected system beats a collection of tools, see Why Creators Need a Business System — Not Just More Tools.
